Find and manage donations

Find any gift, record the ones that came in on paper, and get the year out as a file your bookkeeper can use.

Everything about giving sits under Giving in your : the overview, History, Campaigns and Pledges, then Categories, Manual entry, Import and Payments under Setup.

The Giving overview

The page opens with a sentence about the month rather than a wall of figures — something like “$2,390 given in September, 139% ahead of August”, with the number of donations and donors underneath. If nothing needs doing you are told so; if something does, it appears as one line with one action, such as “There are no funds to give to yet” or “3 pledges are behind schedule”.

Underneath sit the most recent gifts — a gift still clearing carries an amber Pending chip — then your all-time total and fund count, each linking onward.

Finding a gift

Open History

Giving → History. It opens on the current year with a summary of what you have filtered to.

Narrow it down

Search matches donor name, email and note. Year and Category narrow further. Choose Apply Filters to run it, or Clear to start over.

Tip

Search by email rather than name. People give under a maiden name, a nickname or a spouse’s card more often than they give under the name you have on file.

Choose the view you need

Three tabs sit above the table:
  • All Donations — one row per gift: date, donor, category, amount, fees, net, method and note.
  • By Donor — one row per person: total given, total fees, net, number of gifts, average, and their first and last gift.
  • Event & Class Fees — registration and tuition payments.

Long lists split into pages; the controls sit under the table. Select a donor’s name to open their profile.

Pending, failed and refunded gifts

Every online gift stays in All Donations, whatever happened to it, so you can always see where one went. A chip beside the date says which:

  • Pending — the payment has not cleared yet. Bank transfers can take up to four business days.
  • Failed — the payment did not go through. The row is greyed out and left out of every total.
  • Refunded — the whole gift was returned. Also greyed out and left out of the totals.

A gift that was partly refunded shows what the church kept, with a line underneath such as “$25.00 of $75.00 refunded”. Totals, the By Donor view and the CSV export all count the kept amount; the export also has a Refunded column.

Check a gift that is stuck on Pending

If a card gift has been pending for more than a few minutes, or a bank gift for more than a week, open the … menu at the end of its row and choose Refresh with Stripe. Hubl asks Stripe what actually happened and updates the gift. A message tells you the result, for example that the payment failed and why.

Note

Event and class fees are not giving. They are kept out of the giving totals and out of giving statements, because the payer received something worth what they paid, which makes it a purchase rather than a charitable contribution. A genuine gift made at an event appears under All Donations like any other.

Record cash and cheques

Money that came in on a Sunday rather than through the website is entered by hand. You need at least one active fund first.

Open Manual entry

Giving → Manual entry, under Setup.

Choose who gave

Existing Member lets you search your directory and attach the gift to that person. Anonymous records it with no name. You cannot create a new person from this form — add them to your people first if you want the gift attributed.

Enter the gift

Amount, giving category, payment method — Cash or Check — and the date it was actually given, which may not be today. A note is optional.

Choose Record Donation

It appears in History straight away, alongside online gifts, and is added to that fund’s running total.

Export a year

Filter first, then export

Export CSV gives you exactly what is on screen: the same year, category and search, and the tab you are on. Set the filters before you choose it.

Pick the shape you need

All Donations exports date, time, transaction ID, donor name, email and phone, category, amount, processing fee, whether the donor covered it, net amount, payment method, tax-deductible flag, note, anonymous flag and the Stripe charge ID.
By Donor exports name, email and phone, total given, total fees, fees-covered count, net amount, number of donations, average donation, and first and last donation dates.

Warning

Giving statements are not working yet. The By Donor tab has a download control on each row and a Statements button above the table. The per-donor download leads to a page that cannot be found, and the batch button reports that generation is coming soon. Until that is fixed, produce year-end statements from the By Donor CSV export instead.

Bring giving history in from another platform

Giving → Import takes a Tithe.ly export and nothing else. The file must have these nine columns, in this order:

Currency Code, Amount, First Name, Last Name, Location Name, Transaction Date, Transaction Time, Fees, Status

Also required:

  • Only rows with a status of succeeded are imported.
  • Valid calendar dates in MM/DD/YY or MM/DD/YYYY format.
  • USD only. Other currencies must be handled separately.
  • Amounts that include the fees — the net is worked out for you. Use numbers with no more than two decimal places; fees cannot exceed the amount.
  • 10MB or under.

Upload File

Drag the file in, or browse for it. Any import you started earlier and left unfinished is listed underneath so you can pick it back up.

Review Matches

Each record is matched against your directory. Resolve the ones that did not match, either by assigning a person or marking the gift anonymous. When multiple people have the same name, choose the correct person yourself.

Confirm Import

The summary tells you how many are ready, how many are unmatched and will be skipped, and how many are anonymous. Importing cannot be undone.

Warning

Records left unmatched and unmarked are skipped, not queued. Go back to Review and deal with them before confirming.

Note

There is no fund column in the import format, and imported gifts are not added to any fund’s running total. After a migration, your fund totals will be lower than your donation history. History is the number to trust.

Funds, campaigns and pledges

  • Categories are your funds. Add, rename or retire them here; retiring one keeps every past gift and only stops it being offered on new ones. The default fund cannot be deleted. Setting them up is covered in Turn on online giving.
  • Campaigns put a goal and a deadline on a fund. An active campaign appears on your public giving page with its own progress bar and its own Give button.
  • Pledges are commitments to give an amount between two dates. They move no money — the person still gives each gift themselves — and the Giving overview tells you when one falls behind.
