Who we are and what this policy covers

Hubl Life LLC provides the Hubl Life website, applications, and related services. This policy explains how we collect, use, disclose, and retain personal information, including information processed through optional integrations. Hubl manages information used for its own accounts, billing, security, and support. When a church, school, ministry, or other organization uses Hubl to manage its records, that organization decides why those records are collected, who may access them, and how its features are used. Hubl processes those records to provide the organization’s requested services. An organization’s own notices and legal obligations also apply to its activities.

Information we collect

  • Account and contact information, including names, email addresses, phone numbers, profile photos, login details, organization memberships, roles, and preferences.
  • Organization records entered by you, your family, or authorized staff, including family relationships, dates of birth or ages, registrations, attendance, check-in and checkout records, authorized pickup contacts, emergency contacts, and form responses.
  • Information that may be sensitive, including religious affiliation and prayer requests, allergies and health or accommodation information, giving and payment history, and academic enrollment, grades, and other education records. The information collected depends on the organization’s activities and the features it uses.
  • Content and communications, including messages, support requests, event details, documents, photographs, audio, livestreams, recordings, and content submitted for AI assistance.
  • Transaction and subscription information, including amounts, payment status, receipts, and payment-provider identifiers. Payment providers process payment credentials under their own practices; Hubl receives information needed to administer the transaction.
  • Technical and usage information, such as IP addresses, device and browser information, page and feature activity, timestamps, diagnostic logs, cookies, and session information.
  • Information and authorization tokens from services you choose to connect, as described below.

Do not put unnecessary sensitive information in free-text fields, public content, or AI requests. Organizations should collect only what they need and restrict access to sensitive records.

How information is used

We use information to create and authenticate accounts; apply organization permissions; provide registrations, check-in, giving, messaging, media, and other requested features; process billing; answer support requests; communicate about service and account activity; troubleshoot and improve the Service; prevent fraud and abuse; and meet legal obligations.

Where applicable law requires a legal basis, we process information as necessary to provide an agreed service, comply with law, pursue legitimate interests such as security and service improvement, or act on consent where required. Sensitive information may require additional conditions or permissions. Organizations are responsible for establishing the appropriate basis for their records and communications; accepting Hubl’s Terms is not a substitute for those requirements or marketing consent.

Who can receive information

Your organization’s authorized administrators and other users may see information according to their roles and the feature’s sharing settings. An organization may also choose to share information with its own vendors or connected accounts. Ask the organization about its recipients and access policies.

Hubl uses service providers for hosting, databases and file storage, payment processing, email and text delivery, analytics and diagnostics, AI processing, media delivery and streaming, and customer support. We provide the information needed for those services. Providers may also process information under their own terms when you interact directly with their services.

We may disclose information when legally required or reasonably necessary to investigate fraud or abuse, enforce agreements, or protect rights, safety, and security. Information may also be transferred in a merger, acquisition, financing, or sale of the business, subject to applicable privacy obligations.

Public pages, media, and publication choices

Information you or an authorized organization user publishes on public pages, directories, events, or media channels may be accessible to anyone, indexed by search engines, or copied by viewers. Sharing a livestream or recording with YouTube, Facebook, or another destination makes it subject to that destination’s audience settings and policies.

Private member records, messages, children’s records, and unpublished media do not become public or available for Hubl advertising merely because an organization uses Hubl. Our Terms limit use of content according to publication choices and permissions. Organizations must obtain any necessary permissions before publishing someone’s information or image.

Children’s information entered by adults

Hubl accounts and direct use of the Service are for adults age 18 and older. Adult-managed child profiles are records used by parents, guardians, and authorized organization staff for activities such as registration, emergency information, attendance, check-in, and education; they are not child accounts.

Organizations determine what information they need, which staff can access it, and what parent or guardian permission is required. A parent or guardian may contact the organization to ask about a child’s records, request access or correction, or seek deletion, and may contact Hubl for help routing the request.

If you believe a child has created an account or submitted information directly in violation of our age requirement, contact support@hubl.life or Hubl Life LLC, 3180 GA-99, Brunswick, GA 31523, United States so we can investigate and address the account and information as required by law.

Cookies, analytics, and embedded services

We use cookies and similar browser storage for functions such as sign-in, session security, preferences, and analytics. We use PostHog to understand feature use and troubleshoot problems. Analytics may include account and organization identifiers, email addresses, page activity, device information, and session recordings.

We mask text and element attributes in automatically captured analytics events. Our session-recording settings mask page text and input values, block images, videos, canvases, and embedded frames, and disable capture of network headers and bodies. These settings reduce capture of private page content; analytics events and account identifiers are still processed and are not anonymous.

You can manage cookies through your browser, although disabling necessary cookies may prevent sign-in or other features. Where applicable law requires consent for nonessential tracking, that consent is separate from agreement to our Terms. Contact us to exercise any applicable tracking-related rights. Embedded videos and other third-party content may use their own cookies or collect device and viewing information under the provider’s policy, including the Google Privacy Policy for YouTube.

AI requests and providers

If you use AI assistance, Hubl sends the text and context needed for your request to Anthropic through its Claude API and receives the generated response. Depending on the feature, this may include a message draft, sermon material, or other content you select or supply. Review what you submit and avoid unnecessary sensitive or children’s information.

Anthropic processes requests and responses under the applicable API terms and its data policies, including retention for service delivery, abuse prevention, and legal obligations. See Anthropic’s commercial-service retention policy and commercial model-training practices for its standard protections and exceptions. The applicable service terms and settings govern this processing. Contact us before submitting information that requires a particular processing restriction.

Google sign-in and YouTube integration

Hubl uses YouTube API Services. Using Hubl’s YouTube integration means you agree to the YouTube Terms of Service. Google’s handling of information is described in the Google Privacy Policy.

For Google sign-in, we access your Google account ID, email address, name, and profile photo to authenticate you, create or link your account, populate profile fields, and secure access.

For a connected YouTube channel, we access and store OAuth access and refresh tokens, granted scopes, expiration information, channel ID, title, and thumbnail. Authorized organization users can use the connection to create, manage, and end live broadcasts and associated stream configurations. We use these records to maintain the requested connection, refresh authorization when needed, and display integration status.

We request access reasonably necessary for the feature you enable. We do not sell Google user data or use it for advertising. We share it only as needed with service providers that operate, host, secure, or support the feature, subject to contractual or confidentiality restrictions; with the account holder and authorized organization users for that feature; or as required by law or to protect rights, safety, and security.

Google-linked account data is retained while needed for the account or service, legal obligations, dispute resolution, or agreement enforcement. YouTube tokens and connection metadata are retained while the integration is connected. Disconnecting YouTube within Hubl initiates revocation of the current token with Google and removes the local connection record. You can also revoke access from your Google account permissions; contact us to request deletion of associated Hubl-held data. Revoking access does not itself delete your Hubl account or content already published to YouTube.

To request access to or deletion of Google or YouTube data stored by Hubl, contact support@hubl.life or Hubl Life LLC, 3180 GA-99, Brunswick, GA 31523, United States. We handle those requests subject to applicable law and Google’s requirements. Access to connected integrations is restricted to authorized users; the security measures below also apply to Google-related records.

Other connected services

Optional integrations use the access needed for the feature you enable. For Facebook Pages, this may include OAuth tokens, expiration information, Page IDs and names, Page access tokens, and related metadata for Page selection and requested livestream or posting features. Other integrations may receive or supply records you authorize for synchronization or delivery.

We use integration information to provide, maintain, and secure the connected feature, rather than to sell it or use it for unrelated advertising. Connection records are retained while active or as needed for legitimate business or legal purposes. Disconnecting a supported integration removes its local connection record; data already sent to the provider is governed by that provider’s practices. You may also manage access directly with the provider.

Retention, account closure, and deletion

We retain information for as long as reasonably needed for the purpose it was collected, including providing an active account or organization service, honoring an authorized organization’s instructions, resolving disputes, preventing abuse, and meeting tax, accounting, or other legal obligations. Relevant factors include the record’s sensitivity, the organization’s needs, applicable requirements, and whether the purpose can be met with less information.

Contact support to request account deletion or an authorized export or deletion of organization records. We verify identity and authority, and coordinate with the organization when it controls the records. Account closure does not necessarily erase organization records, payment records, messages received by others, or public content held by third parties.

Deletion from active systems may not immediately remove copies in backups or records retained for a legal obligation or dispute. Any retained copies remain subject to applicable protections. Contact us for information about retention applicable to your request; we do not promise a single automatic deletion period for every record or backup.

If Hubl ends an organization’s service for an ordinary business reason, the Terms provide at least 30 days’ notice and an opportunity to obtain records. Request an export through support during that period.

Security and international processing

We use reasonable administrative, technical, and organizational measures to protect information, including account authentication, role-based access, session protections, and HTTPS in production. No service or transmission method is entirely secure. Protect your credentials, use appropriate permissions, and report suspected unauthorized access to support promptly.

Hubl is based in the United States. Information may be processed in the United States and other locations where our providers operate, whose laws may differ from those where you live. Where applicable law requires safeguards for an international transfer, we must use an appropriate lawful transfer mechanism and safeguards. Contact us for information about a transfer affecting your data.

Your choices and privacy requests

Depending on your location, the information, and the law that applies, you may have rights to access, correct, delete, or receive a copy of personal information; restrict or object to processing; withdraw consent; or opt out of certain processing, sales, sharing, or targeted advertising where applicable. These rights are subject to legal exceptions. Withdrawing consent does not make earlier lawful processing unlawful.

Please do not send passwords or unnecessary sensitive records. We may need to verify your identity and any authority to act for someone else. We respond within the periods required by applicable law. Where available, you may use an authorized agent, appeal a decision by contacting us, or complain to your local privacy regulator. We will not unlawfully discriminate against you for exercising a privacy right.

For organization-controlled records, contact the organization first or ask Hubl to help route the request. A member or guardian request does not authorize disclosure of other people’s private records. You can use available account controls to update your information and the unsubscribe or opt-out instructions in communications to manage those messages. Necessary service and billing notices may still be sent.

Changes to this policy

We may revise this policy as the Service or requirements change. For material revisions, we will make reasonable efforts to provide at least 30 days’ notice before the revision takes effect, and obtain consent where required. A new publication date alone does not authorize a materially different use requiring your consent. Prior versions are available for reference.
