Give a helper form access and notifications

Give a helper the right form permissions, let them choose alerts for each form, and rehearse reviewing a response.

Set up the helper in two parts: an admin grants access to Forms, then the helper signs in and chooses notifications for each form they watch. The church must have Forms available on its plan, and the helper needs a Hubl login connected to the correct church.

Note

Access and notifications are separate. A role lets someone open form responses. A subscription sends that person alerts for one form. Giving someone either one does not give them the other.

Warning

Forms permissions apply across this church's Forms area, not only to the forms a helper follows. A helper who can view Forms can read every form's responses in that church. Choosing notifications for one form changes alerts only; it does not narrow which responses they can open.

Admin: give the helper access

Connect the helper's account to the church

Ask the helper to open the Password tab on the login page, choose Sign up, and register with the email address they will use. Then go to People, click Add person, and enter that same address, then click outside the email field. When Account found! appears, click Use Their Info and finish adding the member. If the helper is already in People but cannot sign in, they can choose Forgot? on the Password tab and use that address instead of creating a duplicate. See Adding members for the full member form. A directory entry without a working login cannot set a personal form subscription.

Choose how much Forms access to grant

The Forms Manager role is the quickest choice, but it is broad: it can view and work responses and can also create, edit, and delete forms. If that is more access than the helper needs, go to People → Roles, click Create Role, and enter a name such as Form Response Helper. Set Forms to View, then use Show individual permissions to add Manage form submissions. Leave Create, Edit, and Delete off for a helper who only reviews responses, then click Save. Manage form submissions allows read/unread and archive changes; deleting a response also requires the separate Delete forms permission.

Assign the role to the helper

Open the helper in People, click Edit Member, and choose Teams & Roles. Check Forms Manager or your narrower role, then click Save & Close. Ask the helper to refresh after signing in. The Forms area should now appear for that church.
Assign Forms Manager only when the helper should also build, edit, and delete forms.

Helper: choose alerts for each form

Open the form's responses

Sign in to the correct church, open Forms, choose the form, and open its submissions page. The bell control on that page changes only your own subscription to this form. An admin cannot use their bell to choose another person's alerts.

Choose Email and Push

Open Subscribe or the bell. Turn on Email to send alerts to the email address on your Hubl account. Turn on Push for browser or device alerts. Push only works after that browser or device supports notifications, you allow permission, and the device finishes registering.
Each helper chooses Email and Push separately for each form.

Repeat for every form they watch

Subscriptions are per person and per form. Repeat these steps for each contact, prayer, visitor, or custom form the helper should watch. To pause alerts for a form, choose Unsubscribe from all and subscribe again later. The form menu does not offer a timed mute.

Tip

The person who creates a form is subscribed automatically with Email and Push selected. Push still needs permission and a registered device. Other helpers must subscribe for themselves.

Send a fictional response

Use the form's public link and submit a clearly labeled test response. If the form is not ready to share yet, follow Create a form first.

Find and review it as the helper

The helper should sign in, open the same form's submissions page, and find the test response under Unread. An alert can open the response directly, but the saved response remains available in Forms even when email or push is delayed. Follow Review and handle form responses for the full review flow.

Warning

Opening or marking a response read only records that it was viewed. It does not assign the response or prove that anyone followed up. Use your church's follow-up process when the response needs an owner or next step.

If an alert is missing

  • Confirm the helper signed in with the expected account and selected the correct church and form.
  • Check access and subscription separately: the role must let the helper open Forms, and their bell menu must show an enabled channel for this form.
  • For email, confirm the address on the helper's account. For push, check browser or device support, notification permission, and registration on the device that should receive it.
  • If the helper unsubscribed, subscribe again. Then open Forms directly: the response may be saved even when an alert was not delivered.
  • If a form has no subscribers, Hubl creates an in-app alert for church admins as a fallback. It does not send those admins fallback email or push. Therefore, No one subscribed does not mean no in-app alert exists.
