Print and export event reports

Ready-made lists for an event: rosters by grade or group, allergies, shirt sizes, attendance, home churches, mailing labels, payments and volunteers. Print them or download a spreadsheet.

Every event has a Reports tab with the lists organizers usually build by hand: class rosters, the allergy sheet for the kitchen, the T-shirt order, who came each day, and mailing labels. They fill in as people sign up, so you can print one the morning of.

Open a report

1

Open the event

From your , click the event. It opens with its tabs along the top.
2

Choose Reports

Click the Reports tab. On a phone it may be under More. The page opens with how many people are coming, then the list of reports with a one-line count for each.
3

Print it or download it

Click a report to see it. Print prints exactly the table you see. Download CSV gives you a spreadsheet of the same people with every answer from the sign-up form, for Excel, Google Sheets or a mail merge.

What each report shows

  • Sign-ups: everyone who signed up, with phone, email and how many are coming.
  • Kids by grade: one list per grade, with age, allergies and a parent to call. Only for events that register children.
  • Kids by group: a roster for each group leader, one group to a printed page. It appears once kids are placed in groups.
  • Allergies & notes: only the kids with an allergy or a note, for the kitchen and each classroom.
  • Shirts & extras: totals by size for ordering, then who gets what.
  • Attendance: a check mark for each day each person checked in, with daily totals. It appears after the first check-in. People who checked in without signing up are listed as walk-ins.
  • Home church: which churches your families come from, and who has no church home, for follow-up.
  • Mailing labels: one label per household.
  • Payments: what each sign-up owes and has paid, with balances first. Only when the event charges.
  • Volunteers: roles, approval and background checks.

Note

Waitlisted and cancelled sign-ups are left off the rosters, the allergy sheet and the labels. The Sign-ups report still lists who is waitlisted.

Ask which church people attend

If your sign-up form doesn't ask yet, the Home church report says so. Click Add the question and the form starts asking “What church do you attend?”. People who already signed up show under Didn't say. Spellings of the same church, like “Grace Church” and “grace”, are counted together.

Mailing labels

Print labels prints on Avery 5160 sheets (or the same size, like 8160 and 5260): 30 labels, three across. In the print dialog, set the scale to 100% and turn off headers and footers so the labels line up. Print one sheet on plain paper first and hold it against a label sheet to check.

The address comes from each family's main contact's profile. Anyone without one is listed under No address on file so you know whose to add.

Tip

Want a mail merge instead? Download the CSV from Mailing labels. It has one row per household with name, street, city, state and ZIP.

Permissions

Reports include addresses, allergies and balances, so only people who can edit the event see the Reports tab.
